Role Overview & Responsibilities

We are currently seeking a professional Office Administrator who is highly organised, has excellent attention to detail and takes initiative to support the business. You will be working alongside the CEO and other key business stakeholders in a fast-paced, entrepreneurial business environment, effectively managing the office and ensuring the efficient assignment is done in a professional manner. This a great opportunity for someone who enjoys taking ownership of the role and staying in control of multiple projects and priorities to meet deadlines.

What you will be responsible for:

  • Handling and responding to all correspondence including phone calls, emails and letters
  • Creating and maintaining an organised digital filing system
  • Providing general administrative support, ensuring processes run as smoothly as possible
  • Overseeing and monitoring workplace projects- ‘Making things work’ in a dynamic, fast-paced environment
  • Proactively identifying the needs of the team - Support the team on ad hoc projects where needed
  • Manage Social Media channels by supervising various service providers to accomplish ongoing campaigns and projects
  • Preparing contracts and/or other sensitive documents
  • Preparing and making sure all invoices are input correctly and sent to the clients in a timely manner
  • Handling and tracking company expenses and liaising with accountants for proper fillings
  • Maintaining strict confidentiality
  • Keeping track of all tasks and follow up regularly

What you need to possess:

  • At least 2-year office administrative experience
  • Ability to use your own initiative with tact and discretion for dealing with confidential information and having the ability to be one step ahead
  • Be dynamic in approach, positive with a can-do attitude
  • Have good problem-solving skills
  • Excellent MS Office skills – Word, Excel, Outlook
  • Good oral and written communication skills
  • Excellent organizational and time management skills
  • Responsible, proactivity, accuracy, and attention to detail
