Role Overview & Responsibilities

Job title: Personal Assistant / Administrator

Salary: £28-£32,000 per annum

Hours: Monday – Friday, 40 hours per week / hybrid role – flexible working.

We are now recruiting for an experienced Personal Assistant to add to our fast-expanding team based in London. The role will include but not be limited to the following:

  • Acting as a first point of contact: dealing with correspondence and phone calls
  • Managing the Directors diary, organising meetings and appointments
  • Managing the businesses sales and purchases ledger for invoicing purposes
  • Supporting the accountant with purchase orders, monthly VAT submissions, bank reconciliation and payroll queries
  • Typing, compiling, and preparing reports, presentations, and correspondence
  • Implementing and maintaining procedures/administrative systems
  • Liaising with staff, suppliers, and clients
  • Management of the social media accounts (Linked In, Instagram and Facebook) and creating weekly content using the Canva software.
  • Management of the information inbox and delegating emails where necessary
  • Support with internal recruitment, creating job adverts and scheduling interviews with the Director / relevant Manager.
  • Maintaining and ordering office equipment and branded supplies for client meetings and events.

We are looking for someone with:

  • Highly organised and proactive, with a 'can do' attitude.
  • Ability to re-prioritise rapidly and re-deploy work depending on the situation.
  • Experienced user of Microsoft Office.
  • Excellent attention to detail.
  • Excellent written communication skills.
  • Willingness to accept responsibility; confidence to act independently and decisively.
  • Self-starter capable of acting on own initiative and ability to manage competing demands and pressures whilst always remaining calm and professional.
  • Ability to work collaboratively and professionally with a range of colleagues and with external organisations and partners at all levels.
  • Willingness to develop and grow within the team.
  • Experience using Canva is beneficial but not essential.
  • Experience using Xero accounting software is beneficial.

Salary: £28,000.00-£32,000.00 per year
